About Administrative Assistant
Time frame Thursday and Fridays
Job Summary: Provides general office support by performing a variety of clerical activities and related tasks.
Essential Functions:
• Answers incoming calls and directs them to the appropriate staff members.
• Greets prospective volunteers, program participants, and the public.
• Collects payments from program participants, provides receipt, and records and processes money received.
• Assists with the volunteer intake process by completing background checks and acceptance letters.
• Generates reports, memorandums, correspondence, presentation materials, and spreadsheets using a variety of Microsoft office software products.
• Performs general office duties such as copying, filing, faxing, and scheduling or confirming appointments.
• Retrieves Affiliate mail and general emails, recording and processing all money received.
• Assists with special events and projects when requested.
• Maintains database of donors and volunteers.
• Completes donation acknowledgement letters.
• Orders supplies after purchase order has been approved by Executive Director.
• Occasionally will train volunteers on basic office tasks.
• Maintains Administrative Assistant Job Manual.
• Other duties as assigned.
Qualifications:
• Ability to effectively promote a positive working environment, spirit of cooperation and positive reactions to change and conflict.
• Excellent attention to detail with the ability to perform high quality work while being interrupted consistently throughout the day.
• Excellent phone etiquette.
• Ability to work without constant supervision.
• Punctual.
• Demonstrate excellent professional communication (oral and written) and interpersonal skills.
• Ability to work with other staff members, customers, clients and volunteers.
• Knowledge of Microsoft Office (Word, Excel, Outlook, Publisher, Access)
• Possess strong organizational skills.
• Ability to maintain confidentiality.
• High school diploma or equivalent
• A minimum of 1 year of office experience required
• Completion of business courses, such as computer training, keyboarding, etc. preferred.
